Part Time HR Administrator

Salary: £23,000 to £32,000 FTE depending on experience [pro rata for 20 hrs]

Location: Andover / Some Hybrid working possible


Responsibilities

As a result of our world beating reputation for fit and forget performance, the Company is growing quickly.  We are now looking for an HR Administrator to work alongside the People & Culture Director, delivering a first-class HR service to the team.

This is a new role and presents a fantastic opportunity to shape and grow an interesting and varied role alongside the business growth, whilst continuing to balance home life.    Whilst the bulk of current duties are administrative in nature, there is the opportunity to develop the role into more of an Advisor position as the Company grows.

As a small team the successful candidate will get involved in all aspects of the HR remit, but in particular administrative duties will include:

Recruitment Admin

  • Carry out administrative processes in the recruitment cycle for example prepare recruitment documents, organise interviews, draft and place adverts, manage the candidate database, administer tests, send recruitment correspondence etc

On boarding and Induction

  • Administer the process for new starters, including for example preparing offer paperwork, set up new starters on cascade, mandatory training set up, autoenrollment.
  • Schedule induction timetables and deliver elements of the induction process where required
  • Coordinate the probation review process with Line Managers and issue probation outcome letters

Vetting

  • Conduct ID & vetting checks for new starters
  • Track ongoing clearance expiry and set up renewals, monitor aftercare requirements
  • Support the People Director with the requirements of the IPSA Policy

General HR activities

  • Maintain up to date Personnel files in line with GDPR retention schedules (electronic)
  • Prepare & distribute internal employee communications, posters, memos etc
  • Ensure benefits paperwork is maintained, e.g. expression of wish, smart docs etc and monthly updates for the benefits platform is sent
  • Prepare monthly payroll reports in People Director’s absence
  • Assist with formal employee relations processes, meetings and letters as required
  • Prepare miscellaneous correspondence, forms and documentation and respond to reference requests
  • Coordinate the leaver admin process & conduct exit interviews
  • Ad hoc research & projects
  • Any other administrative support as required by the People & Culture Director

HR System

  • Manage annual holiday year process, close/add & bank holiday dates
  • Respond to employee queries and conduct user maintenance and admin (password resets etc)
  • Assist the People Director with the maintenance and development of the HR system

Internal Communications

  • Draft internal communications
  • Support the social group and company social events

The Successful Candidate:

  • Previous proven experience of working as an HR Administrator along with a basic understanding of HR processes

  • Flexibility and a can-do attitude. We’re a small but growing company and the right candidate will be prepared to get stuck in to a wide range of activities
  • High level of computer literacy including Microsoft Word and Excel and experience using HR Systems (IRIS Cascade a particular advantage)
